If your business involves billing clients for one-on-one communication, you have a lot of options. While there are definitely too many to list in one article here, the most common are:
meeting in person
calling over the phone
Even within these three options, there are literally thousands of communication lines available to you – some for free, some at a price. With a litany of choices open to entrepreneurs and small business owners, how do you decide what to use?
The obvious answer is the most time- and cost-effective option. So, which one is that?
If your business is conducted online(as most companies are these days), the first option fails before launch. Not to mention: Meeting in person seems to cost nothing on its face, but when you consider locations(your office? a restaurant?) that meet a professional standard, costs start to rise. You’ll also need to track your time and bill them using some kind of software – more on that below.
Finding Ways to Communicate Online With Clients
For the other two choices, your potential communication options expand even further. There are countless apps and downloadable software that let you send messages, make calls, and video chat. For your business, however, you’ll want an option that is widely available, easy-to-use, and makes communicating with and getting paid by your clients easier.
Skype, WhatsApp, Snapchat, et cetera, are free-to-use video and text messaging services. However,“free”platforms like these aren’t the best way for small businesses and
entrepreneurs to monetize their time or maximize client communication. While these platforms are free and easy-to-use, they don’t let users track their time or charge for it.
Using time-tracking software can, un-ironically, save you a lot of time when it is time to fill out an invoice. Toggl is one of many sites that offers free time-tracking software as well as a paid version that starts at $9 per month. More expensive options(with more time tracking, saving, and analyzing features) are available through TimeSheets.com ($99 per year) and Tsheets ($4 per user per year).
Finally, you’ll need to factor in how you’ll bill clients for the time you’ve spent with them and that you’ve tracked with whichever software you’ve chosen. PayPal is somewhat ubiquitous in the freelance world, but its services aren’t free. PayPal charges a fee for each transaction(i.e.each time you bill a client) as well as a fee for transferring that money to a card(or waiting a couple banking days for it to deposit to your account for free). The tech finance giant that owns Venmo will also let you create invoices, but you’ll need to spend the time filling out all of your client’s relevant billing information yourself. Other options like Intuit Quickbooks ($20 per month) allow you to combine time-tracking and invoicing, but monthly costs can be high.
So, for the average consultant or specialty coach who spends the majority of their day interacting with clients needs to now find a way to account for that time and bill for it. Even using a free communication platform and signing up for one of the cheapest time-tracking and billing bundles, will require an hour or so per day to track and manage payments.
Save Money Using Aeiway
All told, you could spend 24 hours or more each month trying to maintain invoices. For a consultant who charges $75 per hour, that's $1,800 of potential lost revenue each month.
